Refund Policy

Revised: Dec. 2025

Payment Structure

When an artist enters an exhibition using the ShowSubmit platform, payment is processed through a secure third-party payment processor.

Entry fees are paid to the organization hosting the exhibition. ShowSubmit facilitates payment processing but is not a party to the exhibition agreement between the artist and the hosting organization.

Billing Errors

If you believe you were charged incorrectly due to a billing or system error—such as a duplicate charge or an incorrect fee amount—please contact [email protected].

If a billing error is confirmed, ShowSubmit will issue a refund to the original payment method. Refunds for billing errors are typically processed within ten (10) business days. Processing times may vary depending on your financial institution.

All Other Refund Requests

Refund requests for reasons other than confirmed billing or system errors must be addressed directly with the organization hosting the exhibition. Contact information for hosting organizations can be found in the Show's Prospectus or on the Show's entry page.

ShowSubmit does not approve, deny, guarantee, or issue refunds on behalf of organizations.

Platform Fees

For organizations using ShowSubmit, service fees and credit card processing fees are non-refundable, regardless of whether an organization elects to issue refunds to artists.

Artists do not pay ShowSubmit service fees directly.

Entry Outcomes

Entry fees will not be refunded due to:

  • rejection, non-acceptance, or disqualification of an entry;
  • ineligibility under Prospectus rules;
  • withdrawal of an entry by the artist;
  • removal of works from an entry.

Artists are responsible for reviewing the Prospectus carefully before entering an exhibition.

Show Changes or Cancellation

ShowSubmit is not responsible for refunds arising from an organization's decision to cancel, postpone, modify, or discontinue an exhibition.

Any refund obligations or arrangements related to such decisions are strictly between the hosting organization and the artists.

Chargebacks

Initiating a credit card chargeback is not a method of forcing a refund where one is not otherwise available or permitted under a show's Prospectus or these policies.

Artists are expected to address refund questions directly with the hosting organization or ShowSubmit before initiating a chargeback. Chargebacks increase costs and risk for the platform, and unauthorized or improper chargebacks may result in account suspension, termination, or restriction of future use of the Services.

Governing Terms

This Refund Policy is part of the ShowSubmit Terms of Use. By using the Services, you agree to this policy.
