What Information We Collect

Information You Provide When Creating an Account

When creating an account, you provide personal contact information such as your name, email address, mailing address, and phone number. If you do not provide this information, we may be unable to provide the Services.

Information You Provide When Entering a Show

When using ShowSubmit to enter a competitive art exhibition, you may be asked to provide:

• your name, address, phone number, email address, and organization membership category;
• the title, medium, size, frame size, description, and price of each Work;
• image files (JPG or similar formats) of your artwork.

Payment Information

When paying entry fees by credit card, payment information is collected and processed directly by a secure third-party payment processor. ShowSubmit does not store or have access to your full credit card or banking information.

Information Collected Systematically

The ShowSubmit system does not use third-party advertising pixels and does not embed marketing trackers on your computer.

ShowSubmit uses the following cookies:

• showsubmit_session – used to identify an authenticated user session and required for system functionality;
• __stripe_mid – used by Stripe to process secure credit card transactions.

How We Use Information

We use the information collected to:

• operate, maintain, and improve the Services;
• process show entries and payments;
• communicate with you regarding your account and exhibitions;
• provide support and respond to inquiries;
• comply with legal obligations and enforce our Terms.

What Information We Share With Others

With Hosting Organizations

When you enter a Show, we share your personal contact information and the details you submit about your Works with the organization hosting the exhibition. Financial information is not shared.

With Service Providers

Your email address and email contents are processed through third-party service providers to deliver transactional and service-related communications. Email addresses may also be verified using third-party services at account creation or when updated.

We do not give, sell, barter, exchange, or rent your personal information to third parties for marketing purposes.

Data Retention

ShowSubmit retains personal information for as long as necessary to operate and support the Services, including maintaining historical records of exhibitions, entries, and online galleries, complying with legal and accounting obligations, resolving disputes, and enforcing our agreements.

Some information may be retained for extended periods or indefinitely, particularly where it forms part of the historical record of an exhibition or is required for operational, legal, or archival purposes.

Requests for deletion of personal information are subject to these retention requirements and applicable legal obligations.

User Rights and Access

ShowSubmit will review deletion requests and honor them where feasible, except where retention is required by law, necessary to fulfill contractual obligations, or where the information forms part of the historical record of an exhibition. In such cases, some information may be retained.

Minors

The Services are intended for users aged 13 or older.

ShowSubmit does not knowingly collect personal information from children under the age of 13. If we become aware that we have collected personal information from a child under 13 without appropriate parental consent, we will take steps to remove that information.

Users under the age of 18 may use the Services only with the involvement and consent of a parent or legal guardian, who is responsible for the minor's use of the Services and for compliance with the Terms of Use.

Data Location

Information collected through the Services is processed and stored in the United States. By using the Services, you consent to this processing.

Business Transfers

In the event of a merger, acquisition, restructuring, or sale of assets, user information may be transferred as part of that transaction, subject to this Privacy Policy.
