Rules of Entry

Acceptable Work
  • All work must be original to the artist and must not be a copy or largely derivative of another person's art or another person's photograph without the photographer's permission.
  • Original work done in a workshop or class situation with limited supervision by the instructor.
  • Original work reviewed at a workshop.
  • Critiques from instructors or others which may result in the artist making her own improvements to the piece.
Non-Acceptable Work
  • Work produced in a workshop setting in which all participants paint the same topic, resulting in similar pieces.
  • Work done in a classroom setting in which the instructor helped create or substantially changed the composition or final product.
  • Non-original works; such as work done by a class or group, work planned by the instructor (i.e., still life compositions).

Acrylic, Alcohol Ink, Charcoal, Collage (no 3-D items), Colored Pencil, Encaustic, Gouache, Graphite, Mixed Media, Oil, Oil Pastel, Pastel, Pen and Ink, Scratchboard, Silverpoint, Soft Pastel, Tempera, Watercolor, Watermedia

Framing and Presentation of Work

It is important that every exhibition which promotes the name of Associated Women in the Arts maintain an image that is consistently professional. The goal of a professional exhibition is to focus the viewer's eye on the artwork, not the framing or matting. Therefore, to maintain this high level of professionalism in all group exhibitions the following apply without exception.

  • Simple wood or metal framing for all accepted work, other than canvases clearly sold as gallery wrap.
  • Unusually ornate and brightly colored frames may not be used on any accepted work.
  • Gallery wrap canvases must be a 1½” stretcher frame, without exposed staples.
  • Gallery wrap canvases must be painted on all sides.
  • Works displayed under glass must have acid-free mats and backing board.
  • All mats and backing boards shall be neutral in color (white, off-white, light gray, etc.).
  • NO primary colored mats.
  • Artwork must be securely attached to the frame.
  • For works exceeding 25" in height and width, plexiglass is suggested.
  • All paintings must be wired and ready to hang.
  • D-Rings (especially for large pieces) or screw eyes and wire are required on two-dimensional work. No sawtooth hangers.

General Rules of Entry

  • Unless a change in policy is announced for a specific exhibition, entries submitted may not have been previously shown in an AWA exhibition and must have been completed within the past three (3) years. (Note: See additional rules that apply to the Archives Exhibition.)
  • Size limitations will be determined for each exhibition and will depend on the exhibit space available and/or space available for transporting works to and from traveling exhibits.
  • If there is a question of inappropriate framing or subject matter, the Exhibitions Hanging Committee will inform the President, who will make a decision whether to hang the artwork, reject the artwork, or give the artist an opportunity to re-frame the piece if it can be done within the existing time constraints.
  • The Exhibitions Hanging Committee will not pick up nor deliver art work. This committee will give specific instructions when and how any unused artwork is to be picked up and the members must collect the work promptly.
  • Paintings may NOT be removed from the exhibition in advance of the closing date, as a commitment has been made to have work available for the duration of the show.
  • Each artist is responsible for the delivery and pickup of her artwork on the designated dates and times. If there is a schedule conflict, the artist may ask someone else to deliver or pick up artwork. The exhibitions chair must be notified of this change.
  • All work in AWA shows is exhibited at the artist's own risk.
  • Exhibitions Committee will reject any work deemed inappropriate or not conforming to the exhibition guidelines. The decision of the committee is final.
  • Images must represent the painting exactly.
  • No painting can be substituted once a piece is accepted into an exhibition.
  • Any artist not abiding by the aforementioned Rules of Entry will not have her work hung.

Specific Rules of Entry for Louisiana State Archives Exhibition

  • This annual exhibition is a juried show held at the Louisiana State Archives Gallery.
  • Exhibition is open to all members: general, exhibiting, and sustaining.
  • Participating members may submit up to three (3) paintings for consideration.
  • This is a fully juried exhibition. Works are submitted to the juror who makes all selections for the exhibition.
  • Nudes are not permitted in the Archives Gallery facility.
  • Note: In addition to the General Exhibition Rules of Entry, all artwork submitted must be new work that has never been shown within the city of Baton Rouge in any gallery, nor any juried, curated or general exhibition, group show, individual show or similar format. This does not include any work shown in an open house, on a personal social media account or website - including but not limited to Facebook, Instagram or Flickr.

Additional Notification Information

Notifications will be emailed and posted in your ShowSubmit account by the end of the day on September 18, 2024.

You may view the notification in your ShowSubmit account by logging in and tapping the Notifications at the top right of the screen, or in your Entry History (Accepted works will be notated by a green check.)

If you do not receive your email, login and view the notification in your account. We cannot respond to inquiries regarding the status of notifications.

Image and Filename Specifications

  • Submit your original JPEG image files.
  • Crop out all parts of the photo that are not the actual work; do not show mat, frame, etc, only the work itself.
  • Image must be displayed right side up.
  • You do not need to resize your image files.
  • You do not need to rename your image files.

Additional Entry Information

  • You will pay for your entry by credit or debit card using our secure checkout system.
  • After your entry is submitted and paid for, you may log back in to review your entry, edit artist and image information, and add or substitute images up until the entry deadline (September 13, 2024.)
  • Entry fees are not refundable and must be submitted and paid by the entry deadline.
  • Entries cannot be accepted or changed after the deadline. Incomplete entries will be disqualified.
