To get a show setup for entries you must have an organization created.

If your organization is ready, you can email the following to [email protected]:
1. PDF of your prospectus
2. Image of artwork to be used in the show page header. A past awarded work, a work from a juror or judge, etc.
  Landscape oriented artwork in JPG image format at least 1200px on the longest edge works best in the space. Images should be of artwork only. Images with graphics or text will not work in the space.
The following information is also needed, but can be submitted after the show is set up and open for entry:
1. Juror names and email addresses (if applicable)
2. Judge’s name, email address, list of awards in order of ranking (if applicable)
3. Treasurer’s name and mailing address to receive payment for entry fees collected
4. “Reply To” email address. We use this as the ‘reply to’ email address for any emails ShowSubmit sends on your behalf
5. Acceptance and non-acceptance email content
We ask that entry deadlines and notification dates occur on a weekday. We like to make sure we are available to answer any questions or support emails that come in prior to a deadline. We are available to provide support between 9am and 6pm Eastern Time, Monday to Friday.

Show Checklist
The promo image can be any image of art you’d like to use to promote your exhibition. A past awarded work, a work from a juror or judge, etc.

Landscape oriented artwork in JPG image format at least 1200px on the longest edge works best in the space. Images should be of artwork only. Images with graphics or text will not work in the space.

With the exception of small mobile devices (which get cropped to fill a more square dimension), promo images are displayed at a 16x9 aspect ratio. An image that is 1200px wide and 675px tall will not be cropped on tablet or larger screens. You do not have to crop your images to these dimensions. The display will automatically fill the space with the image centered.
To allow additional Users to access your Organizations Control Panel, you can login to the Control Panel and use the ‘Invite User’ link on the left hand side of the show you wish to grant access.

You can create custom artists and image lists spreadsheets at any time using the Control Panel.

From there, you can choose ‘Contact List’ or ‘Image List’. Select ‘Customize Report’ to select or de-select the columns you wish to export. Finally, click ‘Create Download’ to generate the file. After the report is generated, an Excel file should download automatically.
You can download a .zip directory of images at any time using the Control Panel.

After selecting the show you wish to view, you can choose ‘Download Images’.

Select ‘All Images’, ‘Accepted’, ‘Not Accepted’ or ‘Awarded’ then click, ‘Download’ to generate the file. After the file is generated a zip file should download automatically.

For new organizations, we ask that the $125 admin fee be paid upfront for the first show. For all subsequent shows you host with us, no fees are due upfront. Fees can be deducted from entry fees collected, after the entry submission deadline.
Your organization pays a $125 admin fee per show + $6 per entry (artist), up to 100 entries, and $4.80 per entry for every entry over 100. We no longer charge a fee per image or jury. Your organization sets the number of images allowed per entry and how much you charge the artist per entry.
Each transaction is charged 2.9% the value of the transaction + 30¢. International transactions are charged an additional 1.5%. This fee is set by our payment processor.
We use Stripe for our payment processing. We can accept Visa, Mastercard, American Express, Discover, Diners, JBC, Apple Pay, Google Pay, and Link. We do not accept PayPal.
Typically, if we receive your prospectus during business hours (between 9am and 6pm Eastern Time, Monday to Friday), we can get you a review link within a couple hours. For shows that require custom development to the entry process, we can usually get those up and running within a week.
Jury panels are ready to send to jurors the morning after a deadline.
Of course!...But you shouldn't default to it. 99% of entries come in at 11:59pm on the day of the deadline. OK, not really, but almost.
A check is mailed to the Treasurer on file within 30 days of the submissions deadline.

If you see something like this:

The image must be at least 1500px on the longest edge. The current image is 105px x 140px. Please select a larger JPG of your work.

This error is telling you the image supplied is smaller than the minimum required by the organization.

We cannot ‘upsize’ images to make them larger. For all other images, we resize images to match the organization’s image specifications.

You will need to upload a larger image for optimal display in the jury panel.

One thing to check when uploading your images is to make sure you are choosing ‘original’ or ‘actual size’ when selecting them to upload or when emailing them between devices.

iPhones and iPads, for example, can reduce image sizes by default when emailing images between devices.

If you find yourself emailing images between devices, try uploading to ShowSubmit directly. Our entire process is mobile device friendly!
You may login and edit your entry or artwork details as much as needed up until the deadline for entry. Even after you pay for your entry, you can edit up until the deadline.

Artist Login

Entries cannot be accepted or edited after the deadline. Incomplete entries will be disqualified. Entry fees are non-refundable.

Refund Policy
Uncheck the ‘Select’ button from the artwork you wish to change and then select ‘Add Work’ to upload a new image with all the information associated with it, click Upload Image’. Once the work is uploaded, you can ‘Select’ the new work. Make sure to click ‘Save & Proceed’ to save your changes.

Entries cannot be accepted or changed after the deadline.
You can reset your password using the link below. We will email you instructions to reset your password to the email address you provide.

Reset Password
Notifications will be emailed by the end of the day on the notifications date listed in the Prospectus. They will also be listed in your Account ‘Entry History’ by the end of the day on the notifications date. We cannot respond to inquiries regarding the status of notifications before that time.

We do our best to make sure you receive your notification email. However, if you do not receive an email and the notification date has passed, please check your email spam or login and view your ShowSubmit Entry History. Accepted works will be notated by a green check.

You may pay for your entry by credit or debit card using our secure checkout system.

Entry fees are non-refundable and must be submitted and paid by the entry deadline.

Entries cannot be accepted or changed after the deadline. Incomplete entries will be disqualified.

Refund Policy
You do not need to rename or resize your images. ShowSubmit will handle the processing of your images for you according to the hosting organizations image specifications.

Images must be in JPG/JPEG image format.

Image files are automatically resized according to the hosting organization’s image specifications.

Image files are automatically renamed using your last name, first initial and the title of the work. e.g. Hamby_D_BeautifulDay.jpg

Crop out all parts of the photo that are not the actual work; do not show mat, frame, etc., only the work itself.

Your images must be large enough to meet the specifications. Images that are smaller than the specifications cannot be ‘upsized’ and will not display optimally for jurying.

Larger image files will take longer to upload and process. There is a 30mb maximum file size limit.
Artists are required to have an account to submit entries to Shows. Creating an artist account is free and easy to do using the Register form.

You need to complete the following steps to successfully complete your entry:
1. Review and agree to the Prospectus
2. ‘Add Works’ to your entry
3. Complete the entry form
4. Make your entry fee payment (if applicable)
5. Confirmation. You will receive a receipt from Stripe (if payment is made) and an Entry Confirmation email from ShowSubmit
You can login to your artist account to edit your account. This includes your name, email address, address, email preferences, password, etc.

Image Processing

We have added a feature to auto-resize and auto-name your artwork to the specific show specifications so you don’t have to worry about it. However, if an image is smaller than the minimum requirement, you will see a warning message. You can still upload the image, but your image will not display optimally in the jury panel.
Yes, if you need to change the actual image used, you must uncheck the Select button from the artwork you wish to change and then select Add Work to upload a new image with all the information associated with it. Once that is done, you can Select the correct image. Make sure to click Save and Proceed to save your changes.
Yes, you can edit the information about your artwork by using the Edit Info button next to your artwork. Make sure to click Save and Proceed to save your changes.
Yes, you can uncheck the Select button and click the Remove Work link to remove the image and entire work from your entry. Make sure to click Save and Proceed to save your changes.
While we auto-name and auto-resize image files on your behalf, we do have a 30mb filesize limit. Larger files will take longer to upload and process.
Yes! If you have already resized your images to a specific show’s specifications, they will work as is and are ready to upload.
Yes, if you have already resized your images, or if you prefer to resize your images yourself, ShowSubmit will not resize them if the images meet the exact show specification. Your images will work as is and are ready to upload.
No, if your images are smaller than the required minimum, ShowSubmit cannot ‘upsize’ your images. They will be saved as is. It is recommended that you choose larger images to upload.
No, ShowSubmit will automatically rename all uploaded images. We will use your last name, first initial and the title given to create the new file name. We will save the original file names with the record in case we need to reference it at some point.
We will create unique file names automatically if two of your images share the same title. For example, if you have 2 artworks that are ‘Untitled’, your images would be named, Carson_R_Untitled.jpg and Carson_R_Untitled_2.jpg.

General

Organizations use terms like entries, artwork, images. At ShowSubmit, here is how we define those terms. An entry is your entire submission. An Image or Work is a single artwork that you upload to your Entry. When a prospectus states a fee per entry, they are referring to the entry fee per Work uploaded to your entry.
Yes, you can edit all of your contact information using the Edit Account Info from your Artist Dashboard.
Depending on the detail in your artwork, sometimes the thumbnail can look a little ‘fuzzy.’ Rest assured your full size image will look how it did when you uploaded it.
Occasionally, clicking the Select Image will do nothing. We have not been able to determine why this happens, but it is not an issue with ShowSubmit. This is a browser specific issue with the file input field. We have experienced this most often in Chrome.

The only fix we have found is to quit the browser application and then reopen it and try again. We will update this page if we find another solution.

Entry

No, entries cannot be edited if the show entry deadline has passed.
Yes, you can login to your Artist Dashboard and edit any entry in the Your Open Entries list up until midnight the day of the deadline.
Login to your Artist Dashboard and find your open entry, then select the Edit Entry button. Make sure the Select button is checked next to all of the images you wish to include and click Save and Proceed to save your image selections. It is possible to owe more if the show has a cost per image fee.
Yes, you can remove an image from your entry by logging into to your Artist Dashboard. Find your open entry and click the Edit Entry button. You must uncheck the Select button next the image you want to remove, then click Save and Proceed to save your changes. If you do not plan on replacing the removed image with another, you will not be refunded the difference. Entry fees are non-refundable. Please see our Refund Policy.
